OVERVIEW

You can book attendees into meeting using Booking Screen that can be launched from various launch points throughout the application.

When adding Attendees, you can search directly for a specific Contact, or search for an Account and select which Contacts to add. In addition, you can create new Contact records and add them as Attendees or add from a pre-existing list or import contacts from a delimited file.

BOOK ATTENDEES

  1. In Booking screen, from the Search Type drop-down, select Contacts.

  2. In the Search input-field, start typing in Contact data (for example, the name of the Contact).

  3. From the auto-complete results, select the Contact.

  4. Repeat to add any other Contacts.

  5. The Contacts are added to the grid grouped under their Account name.

  6. Click Save & Close.

BOOK ATTENDEES FROM ACCOUNT

  1. In Booking screen, from the Search Type drop-down, select Accounts.

  2. In the Search input-field, start typing in Account data (for example, the name of the Account).

  3. From the auto-complete results, select the Account.

  4. The Select Contacts dialog box opens and displays a list Contacts for the selected Account.

  5. Locate the Contacts you want to add and select the check box next to their name.

  6. Click Select.

  7. Repeat to add any other Contacts in other Accounts.

  8. Click Save & Close.

BOOK ATTENDEES FROM LIST

  1. In Booking screen, click Add from list button.

  2. In Add from Existing list dialog, select any Contact list to display the contacts.

  3. Select any contacts from Select contacts section and click Add & Close.

  4. Alternatively, you can click Add to continue to select and add contacts from different lists.

  5. Click Save & Close.

Note:

Only the contacts that satisfy Booking rules and Meeting type restrictions are added to the grid with their corresponding checkbox selected and are booked into the meeting on clicking Save & Close.

BOOK ATTENDEES BY IMPORTING A FILE

  1. In Booking screen, click Import Attendees button.

  2. In file selection dialog, select the delimited file that contains Contact’s email.

  3. Click Open.

  4. Import Contact list dialog displays the number of contacts that were successfully imported along with the details of failed contacts.

  5. You can click on export exceptions button to download the failed records as an excel file.

BOOK KEY PARTICIPANTS

  1. In Booking screen, click Add Key Participants button.

  2. In Add Key Participants dialog that opens, select Key participants and click Add

  3. Key participants are added to the grid grouped under their Account name.

  4. Click Save & Close.
